What a GoHighLevel CRM and automation setup involves, and what decides the quote
No price list, because a two-pipeline sales team and a twelve-location franchise are not the same build. Here is the scope, and what moves it.
The honest answer to the cost question is that it depends on what the CRM has to do. One pipeline, one calendar and email is a small build. Four pipelines, WhatsApp, SMS, three calendars, a migration from HubSpot and fifteen people to train is a different job. One published number would be wrong for one of them.
What is fixed is the way the number is set. Every quote is written and fixed, with deliverables, timeline and exclusions listed before you commit. The platform subscription is paid by you to GoHighLevel directly; our quote covers the build. Below is what every setup includes, what it does not, and the factors that move the effort.
The things that make the work bigger or smaller
- Number of pipelines and stagesEach pipeline is designed on paper first: stages, exit conditions and the fields each stage needs. One sales pipeline is quick. Sales, onboarding, renewals and support are four designs and four sets of automation.
- Calendars and booking rulesOne personal calendar is simple. Round-robin across a team, per-service durations, buffers, CET working hours and reminders in two channels take design and testing.
- Channels: email, WhatsApp and SMSEmail on an authenticated sending domain is in every build. WhatsApp Business adds number verification, template approval and consent handling. SMS to Dutch numbers needs explicit consent under the Telecommunicatiewet, which shapes the workflow.
- Existing data and where it livesImporting a clean spreadsheet takes an hour. Migrating from HubSpot, Pipedrive or a legacy tool with duplicates, custom fields, notes and open deals is a mapping exercise with a test import, a check and a final cut-over.
- Number and depth of workflowsFive core workflows (new lead, booked, no-show, won, lost and re-engagement) are standard. Branching by source, service or language, internal task assignment and escalation rules each add build and test time.
- Integrations with forms, ads and other toolsWebsite forms with first-touch UTM capture and consent timestamps are standard. Ad-platform lead forms, payment providers, accounting software or a custom API through webhooks are each scoped on their own.
- Team size and trainingDocumentation and a recorded training session are included. A larger team, role-specific sessions or a second language add time.
- Your own account or a white-label oneWe build inside a sub-account you own and pay for. If you prefer an account under our agency plan, the ownership, billing and exit terms are written into the scope so you can leave with your data at any time.
- One-off build or ongoing planA one-off build ends with handover and 30 days of named support. A monthly plan adds new workflows, reporting and hygiene on a fixed cadence, quoted separately.
- A written data model before anything is built: pipelines, stages, custom fields, tags and consent fields.
- Calendars and booking with reminders, in CET, wired to the right pipeline.
- Five core workflows (new lead, booked, no-show, won, lost and re-engagement), each tested with a real submission.
- Email on an authenticated sending domain with DKIM and DMARC, and WhatsApp Business where you use it.
- Website forms connected with first-touch attribution and a consent timestamp on every submission.
- A reporting dashboard and a weekly report your team will actually read.
- Documentation, a recorded training session and a named contact for the first 30 days.
- GDPR basics built in: double opt-in, a documented sub-processor list and an erasure procedure.
- The GoHighLevel subscription itself, which you pay to the vendor. We explain the plan options; we do not resell them.
- Paid advertising, ad creative and campaign management.
- Copywriting beyond the automation messages themselves.
- Migrating historical email conversations, which is scoped on its own when needed.
- Custom software outside the platform, which goes through the engineering pillar with its own scope.
How it runs
- Week 1 · Map and designThe current lead path written down: where leads enter, who touches them, where they are lost. The data model agreed on paper. Calendars configured.
- Week 2, first half · BuildPipelines, fields and the five workflows built from the model. Contacts imported with tags preserved and duplicates merged.
- Week 2, second half · Wire the channelsForms, the email sending domain and WhatsApp connected, each verified with a real test lead.
- Week 3 · Test with real leadsWorkflows run against live submissions while we watch, then adjusted. Dashboard built. Documentation written.
- End of week 3 · Train and hand overRecorded training session, documentation delivered, a named contact for the first 30 days.
Written, fixed, with exclusions
It starts with a 30-minute call, or with the free automation-leak audit, which produces a one-page map of the manual steps between a lead arriving and a reply going out. Either way we need to know where leads come from, who handles them and which tools hold them today.
Within a week you receive a written scope: pipelines, channels, workflows, integrations, migration, training, timeline, exclusions and one fixed number. You approve it before the build starts.
The number changes afterwards only if the scope does: a sixth workflow, a second calendar group, a payment integration nobody mentioned. Each addition is written, priced and approved by you before it is built.
